The purpose of the quotation determines the proposal depth. Order conditions and review responsibilities are confirmed before the next phase starts.
Tell us your role, the project stage, equipment quantity, quotation purpose and tender deadline. We establish the review and proposal scope.
We agree whether the request calls for a budgetary proposal, a formal technical bid or a separately scoped engineering service.
The offer states its technical basis, inclusions, exclusions, assumptions and validity. Technical and commercial feedback is reviewed during evaluation.
Confirm equipment, documentation, certification, inspection, delivery schedule, payment terms and agreed Incoterms before placing the order.
Confirm the order or engineering instruction, applicable start conditions, design inputs, document schedule and review responsibilities.
Coordinate release, shipping documents, transportation and handover against the agreed delivery and commercial terms.
Before quotationClarify the technical scope and identify the assumptions behind the offer.
Before detailed engineeringConfirm the engineering instruction, design inputs and applicable start conditions.
Before manufacturingObtain relevant drawing approvals and satisfy the agreed order conditions.
Engineering support deepens as requirements and procurement scope become clearer. A budgetary proposal, a technical bid and detailed engineering serve different purposes.
| Proposal level | Typical information | Purpose & preparation basis |
|---|---|---|
| Budgetary / preliminary proposal | Principal specifications, initial supply scope, assumptions, indicative pricing and a preliminary delivery basis. | For early project evaluation. Information and pricing remain subject to clarification and the stated quotation conditions. |
| Technical & commercial bid | Project datasheet, technical proposal, preliminary GA where required, control concept, certification approach, deviations and commercial quotation. | For a defined tender or procurement evaluation, against available inputs and an agreed bid-support scope. |
| Detailed engineering | Project-specific detailed design and the approval, manufacturing and handover documents included in the agreed scope. | Against a confirmed order, contract or separate engineering instruction, confirmed inputs and agreed start conditions. |
Preliminary arrangement drawings and bid data are for evaluation; final dimensions and technical details are subject to detailed engineering. Extensive pre-order calculations, alternative designs or tender-specific engineering require an agreed scope and commercial arrangement.
These activities cross both processes. They are reviewed at defined stages rather than left until the equipment is ready to ship.
Identify requirements → confirm the route → incorporate into design → coordinate inspection and certification → compile final documentation.
Requirements are identified at RFQ stage and clarified before final engineering. Where project-specific certification is required, activities are integrated into design, manufacturing, inspection and handover.
Hazardous-area & electrical requirementsGB Ex, IECEx, ATEX, NEC / Class I Division 2 and any required listing or approval.
Destination & pressure-equipment requirementsApplicable EAC / TR CU requirements, PED or ASME requirements.
Material records & inspectionSpecified EN 10204 documentation and agreed customer or third-party inspection.
Examples for project review only. These systems have different scopes; the applicable route, certificate holder, acceptance and documentation requirements must be confirmed. Listing them does not imply XGTHERMAL holds every certification.
Record changes → review their impact → agree revisions → update the project baseline.
Changes to duty, materials, interfaces, electrical supply, certification or supply scope are reviewed for their effect on design, price and delivery before the affected work proceeds.
Identify document purpose → agree the document list → track revisions and approvals → issue final versions.
Bid-stage documents are preliminary and do not authorize manufacture. Detailed manufacturing information is released progressively according to the agreed scope and project status; internal BOMs, fabrication details and PLC source code are not automatic deliverables.

Practical questions about specifications, drawings, approvals and inspection.
Share your drawings and specification for review. We assess manufacturing scope and interfaces, then identify requirements or deviations before confirming the offer. Existing designs do not need to be replaced with a new equipment selection exercise.
Send the information you have and mark uncertain items as to be confirmed. We identify missing inputs, state any preliminary assumptions and request clarification before finalizing the affected design or proposal.
Tender support is reviewed against the project stage, submission requirements and available inputs. The proposal scope and document depth are agreed before proceeding; preliminary bid documents are distinct from final manufacturing information.
Project-specific detailed engineering requires an agreed scope, confirmed inputs and agreed start conditions. If detailed engineering is needed before an equipment order, a separate engineering scope and commercial arrangement can be discussed.
No. Design compliance and formal certification are distinct requirements. We clarify the required equipment or component scope, destination acceptance, issuing-body requirements and third-party involvement before confirming the certification route. No certification is implied solely by listing a standard on this page.
Provide revised requirements with the changed items identified. We review the impact on engineering, compliance, scope, price and delivery, then confirm revisions before proceeding with the affected work.
These activities can be included when agreed for the project. Inspection scope, witness points, acceptance criteria, scheduling and commercial terms are confirmed in advance. Remote and on-site support are defined by the agreed service scope.
